SUPPLIER AND CUSTOMER QUESTIONNAIRE INFORMATION

When you complete our Supplier Questionnaire or Customer (Buyer) Questionnaire, or otherwise register interest in joining our network, we collect the information you provide about your organisation and its representatives. This may include: company name, address, country, company type, year established, company size, contact name and role, email, phone/WhatsApp, website, years of experience, countries supplied or sourced, and—depending on the form—product/crop types and varieties, production or destination countries, production method, specifications and grades, quality standards and acceptable defect levels, certifications and documentation, monthly/seasonal availability or demand, volumes and forecasts, pricing and Incoterms, payment terms, packaging and labelling needs, private-label requirements, ports of departure or arrival, logistics preferences, lead times, and any other information you choose to provide. This information may include personal data relating to your company representatives.

We may also obtain questionnaire-related information from publicly available sources, trade directories, referrals from our customers, suppliers and partners, and from service providers that assist us in maintaining our records.

HOW WE USE QUESTIONNAIRE INFORMATION

We use questionnaire information to vet and onboard suppliers and customers, to perform due diligence, to manage our supplier and customer pools, and to match demand and supply. We use analytical and AI-assisted tools to help classify and match entries based on factors such as product, availability, location and seasonality. We also use this information to communicate with you, organise meetings, negotiate or perform contracts, maintain security, improve our services, and comply with legal obligations.

Where there is a potential commercial fit, we may share relevant information you provide with the corresponding counterparty (e.g., sharing supplier details with a prospective customer or vice-versa) for the limited purpose of exploring a transaction. We do not sell personal information and we do not share it for cross-context/targeted advertising.

LAWFUL BASES FOR PROCESSING (EEA AND UK)

Where the EU GDPR or UK GDPR applies, our processing of questionnaire information is based on one or more of the following:

  • Legitimate interests (building and managing a qualified network and matching demand and supply);
  • Contract (taking steps at your request prior to entering into a contract or performing a contract with you or your organisation);
  • Legal obligation; and
  • Consent for specific activities where required by law (including certain direct marketing). You may withdraw consent at any time. You may also object to processing based on our legitimate interests, including profiling for direct marketing.

AUTOMATED DECISION-MAKING AND PROFILING

We use automated tools, including AI-assisted matching, to help prioritise potential supplier-to-customer or customer-to-supplier matches. We do not make decisions that produce legal or similarly significant effects solely by automated means. Human review is part of our vetting and onboarding. You may request human review of decisions that involve automated processing and you may object to profiling used for direct marketing.

INTERNATIONAL TRANSFERS

Your information may be transferred to and processed in countries outside your country of residence, including the United Kingdom, the European Economic Area, Israel, the United States and other jurisdictions. Where required, we implement appropriate safeguards such as adequacy decisions, the EU Standard Contractual Clauses and the UK International Data Transfer Addendum.

RETENTION OF QUESTIONNAIRE INFORMATION

We retain questionnaire information while you are an active supplier or customer (or prospective supplier or customer) and thereafter for as long as necessary for the purposes described above. If no relationship materialises, we will delete or anonymise your information after [e.g., 36 months] from your last interaction, unless we are required to keep it longer by law or to establish, exercise or defend legal claims.

Depending on your location, you may have rights to access, correct, delete, restrict or object to our processing of your personal information and to data portability.
